# What is an agent-managed dataset?

An agent-managed dataset is structured data an AI agent can create, inspect, and update through a private API or MCP tool.

human editing cells. A database table is usually designed for an application
developer. An agent-managed dataset is designed for delegated work: the agent
needs to understand the shape of the data, follow instructions, write changes,
and leave a reviewable trail.

## The short definition

An agent-managed dataset is a private, structured row store where an AI agent has
permissioned read/write access, a stable row identity, machine-readable schema,
and persistent instructions for how the data should be used.

AI agent memory is a broad category. IBM describes agent memory as the ability
to store and recall past context so an agent can improve decisions over time

its external memory grows, especially when that memory includes schemas, domain
rules, or successful past actions

Those are useful mental models, but they can blur two different needs:

1. **Recall:** what should the agent remember?
2. **Operation:** what should the agent be allowed to change?

Vector memory helps with recall. A knowledge base helps with retrieval. An
agent-managed dataset is for operation. It is where the agent can add a lead,
change a task status, attach a source URL, update a product price, or export a
snapshot after the user asks.

This is why the boring row-level details matter. If the agent cannot identify a
row reliably, it may update the wrong thing. If the schema is implicit, it may
invent a column meaning. If the instructions live only in the chat, they vanish
when the session ends.

## What makes a dataset agent-managed?

The test is simple: can a new trusted agent inspect the dataset and do the right
thing without a long re-explanation from the user?

The dataset usually needs five properties.

### 1. A stable index

Every row needs a reliable way to find it again. For a personal CRM, that might
be `email`. For a content queue, it might be `slug`. For a product catalog, it
might be `sku`. If no natural key exists, Rowset can generate a `rowset_id` so
the dataset is still ready for safe row lookup.

Stable indexes are not cosmetic. They are the difference between "update the
customer with this email address" and "find something that looks close enough."

Agents need more than headers. A column named `status` might mean lead stage,
QA state, subscription state, or editorial status. Rowset datasets can carry
semantic column types, choice values, descriptions, and reference targets so the
agent sees the meaning before it writes.

states and consequences are different.

The dataset should tell future agents how to behave. Instructions can explain

Agents need a real interface. Anthropic introduced the Model Context Protocol as
an open standard for connecting AI tools to external data sources

MCP is useful here because the agent can discover tools and call them directly,
instead of clicking through a human UI.

REST still matters too. Some runtimes cannot configure MCP, and many scripts

Imagine a content pipeline. A user wants an agent to track article ideas,
briefs, drafts, review state, target URLs, and publish dates. In a plain
spreadsheet, the agent might infer column meanings from labels and the latest
chat. In an agent-managed dataset, the dataset can carry:

- `slug` as the index column
- `status` as a choice column with approved states
- `canonical_url` as a URL column
- instructions for when a draft can move to review
- project metadata that links back to the source repo or Slack thread

Now the next agent run can call `get_dataset`, read the operating context, patch
one row by index, and export a snapshot without asking the user to restate the
workflow. That is the practical value.

Vector search is useful when the agent needs to find semantically similar rows

update a task from `Doing` to `Done`, a similarity search is not enough. It
needs the canonical row, the allowed values, and permission to mutate that row.

1. Use retrieval for finding relevant context.
2. Use a structured dataset for canonical row state.
3. Use MCP or REST for authenticated actions.
4. Use a human review surface for oversight.
